How to Recover Messages in Outlook 2000 that is Installed with Corporate and Workgroup Option

Outlook uses PST files as the storage destination for its e-mail folders, contacts, calendar and other personal data. The same recovery procedures, that are applied in PST recovery can be applied to other types of Outlook storage files as well, such as OST (offline storage files). The same application or the recovery tool, Scanpst.exe is used in recovering both types of files of Outlook 2000.

Usually the ‘Repair Inbox’ is installed automatically during system setup, since the tool is accompanied in the Microsoft Office 2000 CD. the program normally resides in \ Program Files \ Common Files \ System \ Mapi \ 1031 \ NT \ Scanpst.exe in the Office 2000 CD-ROM. On the system, a simple search for ‘scanpst’ would return the location of the Scanpst.exe inbox recovery tool.

Process of Inbox Repairing with the Scanpst Tool

Analyzing PST files directory structures, repairing them and restoring them are all part of the duties performed by Scanpst inbox repair tool. After executing the inbox repair tool, a new PST folder has to be created within the profile in which the recovery is needed, So the the items in the Lost and Found folders can be transferred to the newly created PST folder. This way both the recovered folders plus the ‘Lost and Found’ folders can be deleted so only a good copy of the needed files are remaining within Outlook. However any items that are not in ‘Lost and Found’ folder are beyond repair.

A backup of the damaged PST files

When the inbox repair tool Scanpst.exe is used, by selecting the checkbox to create a backup copy of the existing PST files would create a second copy of the PST files in a different extension, namely .BAK. The advantage of having a backup PST files is that the BAK version may be used to recover files that Scanpst fails to recover using the original PST files. Nevertheless the backup contains only a copy of the originally damaged or corrupted PST files.

A size limitation of 2GB causes saving and retrieval imitations to PST and OST files. There is utility that Microsoft has made to address this issue. However using of the PST file crop utility is subject to losing of some data in the files in order to recover the maximum.

The computers with Outlook 2000 accompanying corporate and workgroup option, are usually components of a larger network. If not the corporate and workgroup option is of no use to Outlook, nor to the system or the user. As network interruption, network failures and application errors being possible causes for PST file problems and Outlook 2000, the troubleshooting and recovery methods for PST files must become common knowledge amongst the staff in any business.

How to Manage .PST files in Various Versions of Microsoft Outlook

Outlook is a program that repeatedly handles important data in many dimensions. Many people have the misconception of Outlook being just an e-mail application. Although its being used mainly as an e-mail application, it handles data in various forms, namely as in messages, contacts, appointments, tasks etc.

Microsoft Outlook is the most widely used e-mail client within businesses, where web based mail programs are restricted. Most important data like contacts and important conversations must be backed up with hard copies, while general Outlook data may be backed up using .pst files and saving them externally as soft copies.

What is a .pst file

.pst file or personal storage folder is used to save, back up and restore data in Outlook applications. The system automatically recognizes how and where Outlook has to save data, but external backing up and restoration is down to manual handling.

Outlook storage methods

According to the configuration, Outlook saves data either in the local hard disk or the Microsoft exchange server if available. By default .pst files are automatically stored onto to the configured location. If the mailbox is located on a server, by default Outlook saves the data in that particular mailbox.

Why back up data

Software and operating systems are very fragile and breaks down easily due to the smallest of reasons. so backing up of data is crucial regardless of the purpose of usage, whether its business or personal. .pst files are the most convenient method of handling Outlook data. Having backed up data helps in situations where hardware components of a system fail too. For example when a hard drive fails in a PC all the data within, may be erased and only a back up can come to the rescue.

.pst portability

Backed up Outlook data in the form of .pst files are portable, in the sense they can be moved across different hard drives and computers as required. This makes just a few clicks and using of import and export features within Outlook to experience portability. pst files are portable not only across different computers, but also across different versions of Outlook.

Microsoft exchange server

When working with networks, usually within business organizations, Outlook mailboxes may be located on a server, typically the Microsoft exchange server. Working with servers makes the back up tasks more easier since just backing up the server data covers all the users configured on the server.

Using of .pst files and backing up methods are virtually identical across Outlook 2002, 2003 and 2007. The mostly used feature with .pst files is the import/export tool within the file tab in Outlook, as it is used to save and retrieve data in Outlook compatible mode.

Trapped in Outlook, No longer, Microsoft to allow open source projects

Microsoft uses .pst file format in Outlook to store the user’s emails, contacts, calendar, important notes, memos and various other important things. These emails and files are connected to various other email operators. Basically, .pst files are binary, undocumented files and are a much closed format whereas in this era of open source and cloud computing where in all data is required to be easily transformable into various formats. .pst files were not inter portable on other operating systems and were creating hindrances for many of its users. This was also resulting in many users shying away from using Microsoft Outlook.

To overcome this problem Microsoft announced that it shall make all the undocumented .pst files and its scripts to public, this way open source operators could work on it and make the Microsoft Outlook inter portable. This is the first time that the software industry giant has taken such a step. Microsoft will release the major documentation of .pst files sooner for greater and enhanced computing experience for its users. This way the users and developers will be allowed to read, create, and interoperate with the data in .pst files in server and client scenarios using the programming language and operating system of their choice.

Paul Lorimer, Group Manager at Microsoft Office Interoperability, said that this decade has brought a lot of change in the user’s and developer’s mind, as the user is offered a huge host of operating systems to work on, he requires more and more data inter portability option. He added that Microsoft will work for the betterment of its user and release major documents regarding the .pst file of Outlook. This shows a clear change in the policies amongst the Microsoft chambers.

.pst files have been termed as a big problem when one requires switching details off Outlook, or breaking away from Outlook and converting all the information. Now, chunks of information which could be in GB, to be kept as it is in Microsoft Outlook in .pst if one wanted to leave it, and people who are not willing to do away with a huge history of emails have to stick too Outlook.

Currently, the Microsoft Office application works on XML formats which is open source standardizations, and not locking in the users in its web of closed source formats. While Microsoft has decided to give away the closed source format for Outlook, it will bring relief for its millions of customers hanging between Outlook and other formats of email archiving. The days of complex data base management amongst Outlook will come to an end; the closed formatting will end soon and bring open sourcing into Outlook. This will just make email archiving, storing and accessing easy and user friendly.
