How to Access Files and Printers on Other Home group Computers

You can create homegroup to share files or folders with people on home network. This aspect of Windows7 makes sharing very much easy. While accessing other computers on home group, you must take care of some basic things. You can safely access data by sticking to guidelines.

First of all, computer that is being accessed should be in your homegroup. To check whether it is there in home group or not, go to ‘Windows Explorer’. In this window, on left you will see all computers in your homegroup except computers that are asleep, hibernating or turned off. You can include computer in your homegroup if it is not in homegroup.

Way to access files of home group computer

Once you are done with checking and addition of computer in your homegroup, you can access files or folders of that computer.

  1. First click on ‘Start’ and then respective user name in order to open navigation pane.
  2. On the left of navigation pane you will see ‘Homegroup’. Under this ‘Homegroup’, you can select user account name of that person whose files are being accessed.
  3. Doing so, catalog of all files will be displayed. Any library can be accessed just by double-click on it. Required folders or files can be opened by double-click.

Addition of shared folder in your library:

  1. In order to speed up the access, shared folder of other homegroup computer can be included in your library. You must carry out following steps for this.
  2. Firstly, on other computer, you should right-click on required folder and then select ‘Share with’ menu. In this menu, choose ‘Homegroup (Read)’ or ‘Homegroup (Read/Write)’.
  3. Now on your computer, go to navigation pane by clicking ‘Start’ and user name. In navigation pane, in ‘Homegroup’ select the computer you wish to access.
  4. Next step will be dragging of required folder to your library by right-click.
  5. As soon as you release mouse, list of options will be displayed; out of select ‘Include in library’.

Accessing Printers of homegroup computers

In homegroup, you can also have access to homegroup printers. Connection to printers in homegroup is done in three ways such as manually, semi-automatically and automatically. Technique of connection will vary with the type of computer.

  1. In automatic connection, there is no need to do anything. Once you join homegroup, printer will be displayed in ‘Devices and Printers’. You can check printer by clicking on ‘Start’ and ‘Devices and Printers’. If it is listed there, it is absolutely ready to use.
  2. If you don’t find printer in ‘Devices and Printers’ but a message prompting “Windows found a homegroup printer” appears on screen, you can connect to homegroup printer semi-automatically. Installation of this printer can be done by clicking on this message.
  3. But what if above both cases fail? Even then you can connect to homegroup printers manually. You need a computer that is physically attached to printer.
  4. First go to ‘Control Panel’ by clicking ‘Start’. In ‘Control Panel’ select ‘Homegroup’.
  5. You must check that ‘Printers’ is selected. After this select computer from which print is required.
  6. Again go to ‘Control Panel’ and click on ‘Homegroup’. In this click on ‘Install Printer’ in order to install it.
  7. Click on ‘Install driver’ if you don’t comprise a driver for printer.

Once you are done with installation of printer, you can operate it through Print dialog box. It is so efficient that you feel like working with printer that is connected to your computer only. To access homegroup printer, the computer to which printer is connected must be on.

How to Enable File sharing with ‘Share With’ Menu

Windows7 provides an easy way to share separate files or folders among people on your network or others. You can even share whole libraries in Windows7. This new operating system presents ‘Share with’ menu. This menu makes the whole thing of sharing graceful by offering an immediate service. On this menu, options will appear with respect to the type of file that is getting shared and network of computers like workgroup, domain or homegroup. Sharing of files on workgroup, homegroup and domain is different. However, ‘Share with’ menu remains common in all types.

Sharing of files on Homegroup

If you are working with homegroup, it’s very easy to share files by using ‘Share with’ menu. You have to carry out some simple steps in order to share documents on homegroup.

  1. To begin with, you will see ‘Share with’ menu just with right-click on file that is being shared. On clicking, list of options including ‘Share with’ will appear with dropdown list.
  2. In this dropdown list, following options are displayed.
  3. First option is ‘Nobody’. With this option you can stop sharing that particular file. In other words, you can keep it private.
  4. Second option is ‘Homegroup (Read)’ which allow you to share that particular file with all people from homegroup. However, recipients can only read this file; they can neither alter that file nor delete it.
  5. Next option is ‘Homegroup (Read/Write)’ which is reminiscent of first one with only one exception. In such sharing, recipients are permitted to do anything with that file. He can not only read file but also modify it or delete it.
  6. Last one is ‘Specific people’ which starts File sharing wizard that permits sharing of that file with specified people only.
  7. But what if this ‘Share with’ menu doesn’t appear? This happens on selection of file that is not in your personal folder. While sharing any item of Windows7 Public folders, one additional option ‘Advanced sharing settings’ along with above options is offered. By making use of this option, you can turn on Public folder sharing.

Sharing of files on Domain or Workgroup

When you are sharing files on workgroup or domain, process changes slightly. By following steps that are given below, you can share files on domain or workgroup.

  1. First step is same as that of homegroup. You will get ‘Share with’ menu with right-click on file to be shared. However, here you will see only one option ‘Specific people’ that opens File Sharing Wizard on clicking.
  2. As File Sharing Wizard starts you must perform following steps according to type of network in use.
  3. If you are working with domain you will see text box along with arrow. Click on this arrow and then ‘Find people’. Doing so, you will get ‘Select Users or Groups’ in which you have to type name of person to share with. After this click on ‘Check Names’ and ‘Ok’.
  4. In case of workgroup, when you click on arrow it will provide list of names. Select names of people with whom you want to share files and ‘Add’ them.
  5. Choose ‘Read’ or ‘Read/Write’ in ‘Permission Level’ column. As explained above, with Read you can allow receiver only to open file. Read/Write permits receivers all actions like read, modify and delete.
  6. After adding people, you must click on ‘Share’. It is necessary to provide administrator password or confirmation if it is asked.
  7. You will get confirmation on successful sharing.
  8. Next step will be to tell those people about accessing that file. You can send link for your file by e-mail or other programs.
  9. Finally, click ‘Done’ to finish process.

Accessing shared documents on Homegroup

  1. Go to Windows Explorer by clicking ‘Start’ and then respective user name.
  2. In window, on left you will see ‘Homegroup’, under which you have to select respective user account to access files.
  3. Finally, you can access library with double-click. After this, you must double-click on required file or item.

Sharing with Public Folders

Public folders like Public videos, Public Documents share each and every file or folder that is copied into it. Sharing is done among all people of homegroup. If Public folder sharing is turned on, everyone can access these folders. However, it is turned off by default. So, only user from local administrators can access them. To turn it on you must follow these steps.

  1. First go to ‘Control Panel’ and then ‘Network and Sharing Center’. In this click on ‘Change advanced sharing settings’ that is located on left.
  2. In ‘Public folder sharing’, select option in order to turn on/off the Public folders sharing.
  3. Lastly, click on ‘Save changes’ to fix these settings. Provide administrator password or confirmation if needed.
  4. In same manner you can turn on/off password-protected sharing. Password-protected sharing is all about sharing public folders which are protected with password by administrator.

Sharing using Advanced Sharing

Under this section, you can share information or data, which is not allowed to share directly like drives. By using Advanced Sharing it can be done. For this, you must follow procedure.

  1. At first, select ‘Share with’ by right-clicking on drive that is being shared. Then click on ‘Advanced Sharing’. You must enter administrator password if it is required.
  2. Next is to click ‘Share this folder’. In order to modify permissions, click on ‘Permissions’.
  3. Use options ‘Add’ or ‘Remove’ to select users for sharing.
  4. Finally, click ‘Ok’ if you are finished with permission and checking of users or group.

File sharing with anyone of your choice

Homegroup is the best way to share files automatically among that particular group. But what if you want to share files with others that are not from homegroup? Windows7 offers solution for it by serving ‘Share with’ menu. This menu allows you to select preferred files or folders and share them with others. Options of this menu vary with the type of network in use and type of file that is being selected. Generally there are following options.

  • First option is ‘Nobody’. By selecting this option you can make a particular file private. Nobody can access it except you.
  • Second is ‘Homegroup (Read)’ that enables you to share file with homegroup; but read-only permission is must for this sharing. This read-only permission allows recipient only to read file; he cannot make any changes in that file. Recipient is not allowed to delete that file even.
  • Third is ‘Homegroup (Read/Write)’ which is same as ‘Homegroup (Read)’; but in this case, read/write permission will be sufficient for sharing. With this read/write permission, recipient can do anything with that file. File can be read, modified or deleted even.
  • Lastly, there is ‘Specific people’ with which you can select people precisely in File Sharing Wizard. Sharing is done with these specified people only.

Shared documents

You can easily check files or folders that you have shared. In Windows7, these details are given in Windows Explorer. You can go to Windows Explorer by clicking on ‘Start’ button and then user name specified by you. On selecting any folder, you will see all the information at the bottom of screen. It will tell you if that file is shared and if it is shared, it will also provide information about recipient.

Public Folders

As a ‘Share with’ option makes sharing effortless, there is one more option named ‘Public folders’. Like drop boxes, this Public folder makes all files or folders available to other people when you copy them to this folder. These Public folders are present in each of your libraries for instance Public Videos, Public Documents, Public music etc. Sharing on Public folders must be turned on before sharing since it is off by default. It is a useful technique for sharing some documents with several people as it holds record of shared files. Unfortunately, these folders do not allow you to protect some files in them. Either you have to hide all files or none of them. But if that much flaws are considered, option of Public folders is not that bad for sharing.

There are various ways to share a file between different users and to use them effectively you must be aware of basic knowledge required for it.

Default Web Browser in Windows7

While working with new Windows7, there are chances that Windows7 may not be able to open links. Sometimes Windows Live Mail is used to read emails, but unfortunately no links in emails get load. On trying to click on these links, error is notified with message saying that there is no existence of compatible program; though system has various web browsers including Internet Explorer. An Error message usually appears on computer if default web browser is not selected. This problem can be solved by instructing Windows7 to use a specific browser. Although Internet Explorer is present by default, Windows does not use it until it is told to do so.

Default Browser can be set by following some easy instructions. If you want to select Internet Explorer as your default browser, go to ‘Internet Options’. On selecting this option, it will open a new dialogue box. Here you will see a number of tabs offering many options. In ‘Programs’ tab, you will be prompted to make Internet Explorer as default browser. You can set it by just clicking on ‘Make default’ option. If you are not provided with Internet Explorer, it can be downloaded from Internet Explorer website.

But what if another web browser is essential to be set as default browser? It is very simple to set any browser as your default browser. For this, you must go to ‘Control Panel’ and select on ‘Default Programs’ option. You will be given a list of programs. Browser of your choice can be picked from this list; and by clicking appropriate option it can be set as a default browser. Thus by telling Windows to use a specified browser, you can read emails and load required links. In case of Firefox or Google Chrome, there you will find options regarding this procedure.

If you are starting with a fresh browser, as soon as you start it, a message asking to select it as default browser will appear on screen. By following steps given, that particular web browser can be selected as default browser. But what if you are not prompted with such message? In such situations, if you are working with Firefox, there is ‘Tools’ option in menu. On selecting it, you will see a list including ‘Options’, on which you must click. Doing so, a dialogue box will appear in which you have to click on ‘Advanced’. Consequently in ‘General’ option, click on ‘Check Now’ and then ‘Ok’. Finally, Firefox will be set as your default browser.

In case of Google Chrome, on starting it, you will notice a spanner icon. After clicking on this icon, a dropdown list with ‘Options’ will be displayed. A new dialogue box will start on clicking ‘Options’. In this box you can easily make out an option ‘Make Google Chrome my default browser’; just by selecting it Google Chrome will be set as your default browser. In this manner by choosing default browser, Windows can load links with this specified program without prompting any error message; and you can get rid of all difficulties regarding browser setting.
