Microsoft Excel is very powerful spreadsheet applications, which provides large range of functions, formulas, macros, windows forms and add-ons that allows you to analyze data in simple and quick way. One of the powerful applications of excel is create graphs and charts for small and large amount of data onto the Excel spreadsheet. Graphs are good way to represent and analyze data, and user can easily understand the details through graph instead of going through textual documentation. You can save your time by creating graphs using Excel spreadsheet. With the use of Excel you can create variety of graphs like line chart, pie chart, bar graph, scatter-plot graph, Stock Graph, Surface graph, radar graph etc. Among them bar chart, column chart, Line and Pie chart are very popular chart types.

Before starting the graphs you need to remember certain things.

The data must be organized in proper way which you want to appear in the graph. The data should have a proper table layout and there should be no spaces between rows and columns and also between the headers and table data.

While selecting the chart data, include the header in the selection and do not include empty rows or columns.

Let us see how to create a graph in no time from the given sets of data using Microsoft Excel.

Step 1: First enter some sets of data in the excel spreadsheet. In the First row enter title of each column. In the cell “A1” enter the title “Student”, In “B1” enter the title “Test1” and similarly add the titles up to Test4.

Step 2: Under the labels which you have setup in the top of the column, enter the information which you want to analyze using Graph. So, now you have 5 different columns, select the entire range of data which you want to display in the graph.

Step 3: Now, click on “Insert” tab from the toolbar on top of the page. Find the “Chart” button under the tab. The button has a little graph inside of it as icon, click on this icon and it will open the chart wizard which contains many types of graphs.

Step 4: Choose the the correct graph type from the given list of graphs. If you want to change the graph type later, then also you can change it at any time. For our example let us go with Bar type.

Step 5: Once you select the required graph type, you can click “Press and Hold to View Sample” button to generate a preview of the graph. Click “Next” to configure the data.

Step 6: In the next wizard you can choose either rows or columns, if you choose rows then in the graph the Y-Axis is for tests and for each test, all the names can be seen as lines in the graph.

Step 7: Click “Next” and you can select the Chart title, position of legent, units for X and y axis and whether display the values on the graph or not. You can also change the colors by right-cliking the empty white space in the graph.
